Track attendance easily and efficiently for both Field and Office users.

Field app users (e.g. Supervisors) can inform the Office app immediately with any absences or presences for the day.

This allows Office users to have this information early in the morning, before any synced jobs. The Attendance also acts as a record for payroll, as the absence record can contribute to gross pay and agreed hours depending on the reason given.


Before starting

Before starting, make sure you have the feature enabled for your organisation.

You can check this on ⚙️ → Settings. If you have the “Attendance” section you are good to go! Otherwise, contact us.


Set up

Login to the Office app, navigate to ⚙️ → Settings and open the Attendance section.

Add your absence reasons, these records will be important for payroll calculation and also for reporting.

  1. Type: Preset absence types

  2. Name: Custom name for the absence type, this is shown to all employees including the Field app

  3. Default duration per day: When informing new absences, this value will be set as default and can be overwritten in the Office app.

  4. Code: Custom code for the absence type, used in reports. If sharing with payroll check the absence code matches.

  5. Costing code: Typically a cost related department, used in reports. If sharing with payroll check the costing code matches.

  6. Contribute to gross pay?: If yes, any absence records using this reason will contribute to the employee pay. Payments will be calculated using the absence duration (hrs) and the employee hourly rate or the minimum wage.

  7. Contribute to agreed hours?: If yes, any absence records using this reason will contribute to the employee’s hours reducing any top-up hours. Requires “Top-up to agreed hours” to be enabled in the employee settings.

Once added, you’re ready to start tracking and managing your team attendance!


Managing attendance in the Office App

To check and manage attendance in the Office, go to People → Attendance.

Attendance statuses:

  • Present: Employee has jobs/time tracked

  • Present (no work): Employee was marked as “present” by the supervisor, but has no jobs yet

  • Absent: Employee was explicitly marked as “absent” with absence reason

  • Unknown: No attendance records or jobs

Attendance actions:

  1. Date navigation: Attendance records are organised by day, allowing you to review and edit in bulk.

  2. Filters: Search for an individual or filter your employee records by status or group.

  3. Multiple select: To bulk add absence records.

  4. Edit absence record: To individually add or edit absence records.

  5. Go to employee timesheets: Review an employee’s timesheets and attendance for the entire pay period, individually add or edit absence records.

Adding or editing absence records:

To individually add or edit absence records, click edit on the relevant employee (option 4 shown in the screenshot above).

An employee can have multiple absence records for the day. An employee can have work tracked and absence records e.g. 4 hours work, 4 hours sick leave.

  1. Job status: If an employee has jobs/time tracked or not.

  2. Absence author: The employee who submitted the absence status

  3. Absence reason: Add or edit from available absence reasons

  4. Hours: Editable absence duration, default by absence settings

  5. Comment: Optional comment

  6. Reported by: The employee who submitted the absence reason

Edits in the Office app are not reflected in the Field app


Attendance reporting in the Office App

Attendance overview

Go to Dashboard → Overview.

This chart includes all attendance statuses and your absence reasons live each day.

  • Export: Shortcut to download the attendance report for the selected day.

  • Go to attendance: Shortcut to manage attendance

Attendance reports

Go to Reporting → Reports.

  • Attendance report: Status day by day per employee

  • Timesheets by employee: Absences will be on this report

  • Custom Payroll report: Absences are available to be added


‘Roll call’ aka recording attendance in the Field App

An employee can be recorded as Present or Absent for the day. We recommend taking roll call before starting any jobs, this gives the opportunity for managers in the Office to know who was present as early as possible.

Syncing crew attendance

Login to the Field app on your mobile or tablet device and navigate to Side menu → Crew. Here the supervisor can submit the attendance individually or in bulk for the crew.

  1. Multiple select: To bulk add absence records

  2. Attendance: Opens the absence options popup (shown below)

  3. Edit absence record: To individually add or edit absence records

Bulk recording employees ‘Present’

Until work is tracked these employees will show in the Office app as Present (no work).

Absence reasons are required, comments are optional but always helpful.

Viewing crew attendance

After syncing the attendance in the Field app, the supervisor can check the employee status for the day on the Crew list.

All attendance records are cleared at the end of the day, edits can be made until then.

When starting a new job, the Field app will respect the attendance informed and will pre-populate who is present.
