Understanding the terminology used in Tātou can help users better understand how to use both the Tātou Office and Tātou Field Apps.

Job = a daily record of work

Job is one of the terms many new users can struggle to remember in the context of Tātou vs other systems, or even workplace lingo.

So Remember:

  • 1 Task in a Block(s) can be tracked over multiple Tātou Jobs

  • In a day users can track multiple Jobs which are defined by the Start and Finish Times

Jobs contain details on:

  • Date - when the work was completed

  • Task - what type of work is happening

  • Location - where the work is happening (Client, Location)

  • Block - which blocks within a location are being worked

  • Rows or Units Complete - if tracking with Simple Summary or Assign Rows

  • Expenses - any machinery or supplies that are used during the work

  • Job Notes - optional notes sections for Tātou Field App Users

  • Timesheets - contains hours and pay rate for employee(s) 

    • Employees working

    • Hours worked

    • Type of pay rate (i.e. hourly or contract)

    • Units worked

A Job can only be created for:

  • 1 Task

  • AND 1 Contract Unit Rate

  • BUT any combination of Blocks within a Location

If multiple Tasks are completed in a day OR the same Task is completed at a different price, each Task/Price combination will need to be tracked in a different Job

Task = a type of work (aka activity - e.g. pruning, mowing, picking, etc.)

Scheduled Task = Task planned ahead of time in the office containing details required to assign work to crews.

  • They are assigned to a person or crew leader to help direct work in the field.

  • Scheduled Tasks will appear on the assigned workers tablet, allowing them to hit PLAY, and skip past the “Start a Job” questions on Task, Client, Location, Block, etc.

Pro Tip: Scheduled Tasks are the only way Jobs tracked using Simple Summary can use the progress CARRYOVER Feature.

Pro Tip: Tātou Office App Users can add Scheduled Task Descriptions which can be used to communicate additional information to crews in the Field.

For Example:

  • Orchard Mowing Task → Block 1, Block 2, Block 3

    • Description: Mow EVERY OTHER ROW

  • Orchard Mowing Task → Block 4, Block 5, Block 6

    • Description: Mow EVERY ROW

Site and/or Farm Information

Clients = A group of locations (properties). 

  • For a contractor: This can be a grouping of a client’s properties

  • For a grower: you can have all your properties under 1 Client - Your Organisation, or use Client to group different properties based on your organisation’s management structure (i.e. North Island Vineyards vs South Island Vineyards)

Location = A property composed of a group of blocks (aka vineyard, orchard, farm)

Block = Designated area of your property that are uniquely identified (aka patch, paddock, block)

Units = A measure of work completed e.g. plants pruned, bins picked, kilometres sprayed. Employees can be paid per unit (AKA piecework or piece rate), productivity can be tracked by unit and invoices can be charged by unit. 

  • Custom Units: used when total units are not predefined

  • Units Available: row/block units preset for the Task and Block in Tātou Office App
