How to add or update an employee in the Tātou office app.

Manage your employees; switch to inactive when they leave and active when they return.

Instructions

  1. Login to the Office app.

  2. Select People > Employees from the top menu.

  3. Search employee—are they already in the system? Filter by Inactive

    • No: select Add new employee

    • Yes: select View employee (arrow icon) and update the employee’s details.

  4. Ensure you have the mandatory information*

    • First name*

    • Last name*

    • Staff ID* often linked to Payroll

    • Contract type* casual, fixed, permanent or contractor

    • Default role* required to access certain tasks, can apply higher rates

    • Role* other roles the employee might perform, e.g. substitute Supervisor,

  5. Select save

  6. Review key EMPLOYMENT details:

    • Recruitment type recommended for record keeping and audits

    • Hourly rate ensure topup is ticked for piece work

    • Agreed hours required for overtime or topup for minimum hours agreements

    • Employment period

      • Start date recommended for record keeping and audits

      • End date recommended, triggers dashboard alert

    • Groups, Roles and Crew If known, assign the new employee to a Crew and inform the Crew Leader or add their team.

  7. Add key employee DETAILS:

    • Medical and Emergency recommended especially if any important notes for Tātou Field app Supervisor e.g Asthmatic, Allergic to bees

    • Nationality recommended for record keeping, audits and triggers dashboard alert

    • Passport recommended for record keeping, audits and triggers dashboard alert

    • Drivers License recommended for record keeping, audits and triggers dashboard alert

  8. Create login access > https://support.tatou.app/kb/how-to-logins-usernames-and-emails

Employee hourly rates are optional however, if left blank national minimum hourly rates will be apply. These are typically lower than migrant worker scheme rates, Awards or Fair Worker Agreements.
