The Task Category page is your starting point for loading information about types of work completed by your employees, employees who can complete these tasks, and how those tasks relate to organisational accounting.

Tātou Terminology Review:

Task Category = A group of related Tasks

Task = Type of Work

Role = Role assignment for employees, used to differentiate wages and/or ability to complete certain tasks.

Key Features:

  • Task Categories: help you organise tasks for easy navigation in the Field App and can be used to align with organisational cost centres.

  • Task Type: Task Categories can either be Internal or Client Tasks

    • Internal Tasks are tasks whose costs are attributed to your Organisation

    • Client Tasks are tasks whose costs are attributed to a Client, Location, or Block

Internal Task cannot be assigned to a Client

  • Tasks: Under each Task Category there can be multiple task. Select the Green Arrow.png to view a list of Tasks.

  • Task Rates: Tasks can be set to either an Hourly or Contract default rate type, but also can have:

    • Default Hourly/Contract Rate: Rate that is paid to the employee completing this task

    • Default Hourly/Contract Invoicing Rate: Rate that is charged to a Client when invoicing

Be aware Role Rates and Task Sales Rates may differ. To determine which Rate Tātou should apply when using the Invoicing feature, select between the two options in ⚙️ → Settings

  • Role Restrictions: Some Tasks may require special training to complete, by assigning a Task Category Roles, Employees without specific Roles will not be able to be added to Timesheets or Jobs that are created for those Tasks.

If an employee cannot be added to a Job, or there is an “Employee/undefined” message in the Field App, they may not have the appropriate role designation for that task. Check:

  • People → Employees → Employee Name → Employment → Groups, Roles and Crews

  • Admin → Tasks → Roles Column for possible Role Restrictions

  • Bulk Import Task Information: Using templates provided, or a Task Export, Office users can click the “Import” button → import button.png ← to add new information or update existing information about Tasks:

When Bulk Importing Task Information you can either “SKIP EXISTING ROWS” or “UPDATE EXISTING ROWS” depending on what information you are uploading.
