Auditing Tracked Jobs
Tātou Office App has been built with managers in mind to make sure reviewing Jobs is as simple as possible, while also flagging any potential errors in data entry. Below are some tools and example cases to help review these features.
Job Status Updates
New vs Approved
To get the most out of Tātou Office App’s Job Auditing Features, it is recommended that managers or admin who are reviewing submitted jobs, change the Job Status from New → to → Approved to clearly identify Jobs that have been checked.
This step is best to do after all Jobs have been submitted for the day, so that any other issues (e.g. rate updates, duplicate timesheets, etc.) can be adjusted with the “full picture” in mind.
Approved vs Complete
Typically users would mark Jobs as Complete, after the Jobs have been run through payroll. To quickly change the Jobs status from Approve to Complete:
Filter to the Date Range of the Pay Period that has been processed
Filter to Approved Jobs
Select all
Bulk Edit Status → to → Complete
Be sure to check other Job Status categories during this process to make sure nothing was missed.
Overview Dashboard Widgets
These are designed to highlight jobs that are in progress, need to be checked, were submitted late, or even duplicate timesheets that need fixed.
Jobs Widget
This highlights all Jobs and their current status within the filtered date range of the Overview Dashboard. Clicking any of these will take users to the All Jobs
Page with the job status filter set to the selected status.
Data Quality Issues Widget
Duplicate Timesheets: Clicking the number under the Duplicate Timesheets header will bring up a downloadable pop up that lists:
Date
Employee
Links to Jobs with overlapping timesheet times.
Clicking the Job Links will open the Job Summary Page in a New Tab
For Organisations using the Kiosk Feature:
Unmatched Kiosk Scans: Clicking the number under this header will bring up the Kiosk Scans
Page filtered to the Status “Unmatched”
Incomplete Kiosk Scans: Clicking the number under this header will bring up the All Jobs
Page filtered to the Job Flags “Kiosk Issues”
Duplicate Timesheet Corrections
To investigate Duplicate Timesheets - start by clicking the number under the Duplicate Timesheet header, which will bring up the following view:
Steps to Correct:
Open all Jobs for an individual with overlapping times by clicking the underlined times - these open the Job Summary screens in new tabs
The timesheet(s) with overlapping times will be highlighted RED with a warning icon →
← next to it as in the image below.
Review why the duplication has occurred by checking through the submitted Jobs details, and talk to the user who submitted the Job if the required corrections are not clear.
Pro-Tip: If the Duplicate Timesheets Reported is a large number, this can often occur when the error is across a whole crew. To quickly identify which and how many Jobs are affecting the total reported timesheet errors, DOWNLOAD the report to find out how many Jobs are creating the total number of duplicate timesheets.
As you can see below - there are a few Duplicate Timesheets that can be fixed by corrections made to only two jobs.
