Creating a Custom Report

Login to Tātou and navigate to Reporting > Reports > Custom Reports then select + ADD

The first 4 Steps are exactly the same when creating a new Custom Report, however after the Report Type is selected options vary as per the chart below:

  1. Name
    A clear title for yourself and your team

  2. Report type
    The report type determines what the underlying data is that you’re reporting on. Once the report type is selected, the menu options will change to type specific options (see examples below).

  3. Description
    Supporting detail for yourself and your team to understand the report purpose or usage

  4. Show column titles
    Includes your columns titles in row one of your report

Timesheet Report Specifics

  1. Filter Jobs by Status
    Only include timesheets where the job has this status. This lets you only report on timesheets that have been approved. Please note: that summary rows will be based on all synced jobs, regardless of this setting. For instance top-ups and paid breaks will be calculated based on all jobs worked.

  2. Filter Timesheets by Rate Type
    Only include timesheets where the rate type matches this filter. This lets you report on different rate types used by your organisation. Please note: that summary rows will be based on all synced jobs, regardless of this setting. For instance top-ups and paid breaks will be calculated based on all jobs worked.

  3. Condense Timesheets
    This compacts all hourly timesheets into one line. This is generally used in combination with an ‘Ordinary Hours’ and ‘Overtime Hours’ summary row (see below). Please note: contract timesheets remain uncondensed due to the significant variation between rates

  4. Split contract timesheets
    Creates two rows for each contract timesheet, so units worked can be separated from hours worked. This is generally used with custom logic, so if you want to know more, please contact support@tatou.app

  5. Exclude Absences
    Some payroll providers prefer absences not be included in the information provided form Tātou. Excluding absences allows users to keep track of absence hours and reasons in Tātou, without having to report that data, so hours and costs are captured accurately in Tātou.

Payroll (Legacy) report type performs calculations for the date range you have selected, if this does not match your payroll period then results will be inaccurate and not match job costs.

Filter by Rate Type and Exclude Absences are not options for this type

    Only include timesheets where the rate type matches this filter. This lets you report on different rate types used by your organisation.

  3. Split Timesheets by Block
    Where Blocks have been worked together in one Job, this options will split the blocks into individual lines, rather than reporting the blocks together as one line.

Adding Report Columns

Once you’ve created the Report it is time to Add Columns. These are the columns that make up your report’s output. Each column has a name and a type. The column type determines what data you want in this column. There are a lot of types, and they all have a description of how they work.

Custom Logic is an advanced column type, so if you cannot find a column type that suits your requirements, please contact support@tatou.app and we can help get this working for you.

Adding Pay Summary Rows

Only available in Payroll Reports, these are extra rows that will be included for each Pay Employee. This is how you can include a top-up summary, overtime hours, and many others.

For each summary row, you may wish to add custom text to identify each summary row. For instance to create a summay row for top-ups:

  1. Select ‘Top-up’ as the summary row type

  2. Click ‘Add column value’

  3. Select the column (from your custom report’s columns) you wish to add custom text to

  4. Enter the custom text into the ‘Value’ field.

  5. Click ‘Save’ to close the modal

  6. Click ‘Save changes’ to update your report


Running a custom report

Active Custom Reports are shown in your Report Type dropdown when running a report. You can run these just like any of our standard reports, and apply filters as needed.

Please note that some reports require elevated permissions (eg Payroll reports requires you to have the Payroll permission), so you may not see all reports available in your Organisation.
