Creating Permissions Groups
Identifying groups of employees who will be using Tātou and what access they should have is a critical part of your account set up.
There are separate access options for the Tātou Field app and Tātou Office app, each of which have multiple options based on what your employees need access to, and it’s important to understand what these access options are, and where to assign them.
Permissions are assigned to employees in their Employee Profile → Details → Login and Permissions, or by adding the the permission_group column in the employee bulk import.
Field App | Office App | |||||
---|---|---|---|---|---|---|
Jobs | Kiosk | Profile | Jobs | Financial | Administrative | Reporting |
Field App Crew Leader Set Job Rates | Kiosk | Coming Soon | View Jobs All Jobs within Division Create Jobs See Job Rates Edit Jobs Approve Jobs Schedule Tasks Projects Kiosk | Hourly Rates Unit Rates Job Costs Job Income Invoices Payroll | Employees Roles Groups Tasks Clients Equipment Forms Organisations | Attendance Reports Dashboards
|
On the Permissions Group Page you will find a list of all permissions groups and a summary of the groups access for each of the categories. Default Permissions Groups come with every Tātou account and include:
Administrator - Full access to Office and Field
Client - Can login to Tātou Office App and approve jobs tracked on their locations and blocks
Kiosk - Can clock employees in and out (for operations using the Kiosk feature)
Permissions Groups can be added to fit your Organisational Requirements, below are a few examples of what that might look like:

Important Notes:
Financial → Hourly Rates: Selecting this option means that Office App Users with this permission are able to see:
Hourly Rates on Job Summary and Timesheets
When that Employee also has “Employees” permissions, they are able to see individual Employee Hourly Rates that are included in Employee Profiles.
Administrative → Employees: Selecting this options means that Office App Users with this permission are able to review Employee Information loaded in Tātou.
Divisions: Divisions can be used to restrict view of certain information from groups of users based on organisational structure.
Restrict to Division means (clients, locations, tasks, or employees) means that this information is not visible to people below that specific division.
Employees in the same division are able to see information above (if not restricted) and below them based on their permissions settings.
